AWIG Reservations & Payment Policies

Children:
 
There is no additional charge for children under the age of 12 sharing a room with their parents.
 
Children over the age of 12 pay $27.00 as a third person in a room.
 
Reservations:
 
The San Jose Marriott Hotel is the Headquarters Hotel for the AWIG 2007 Meeting. Because the occupancy rate is always greater than 90% throughout the year, attendees are urged to make their hotel reservations before 6.00 PM (EST) on April 15, 2007 in order to guarantee reservation at the special rates negotiated

All rates quoted are inclusive of all taxes and service charges
 
Any reservations made after April 15, 2007, will be on a ‘space available’ basis. If no space is available at the San Jose Marriott, every effort will be made to provide information about alternative accommodation.
 

Cancellations

Any cancellation 15 days or less prior to arrival will incur the full length of stay charge.

All cancellations and changes must be made in writing.
 
Once the reservation is confirmed, a 25% deposit of the entire package will be charged immediately, and the remaining balance will be charged no earlier than June 1.
 
All incidental charges not covered under the terms of this agreement and incurred during stay are to be settled prior to check-out.
 
**Conference registration must be paid in full at the time of making hotel reservations. Payments are accepted in the form of a credit card.

Carlson Wagonlit Travel Costa Rica accepts: Visa, MasterCard and American Express.
 
In order to pay by credit card it is necessary to Submit your Information Online (Recommended) or sign and fax our reservation form with all credit card information indicated.

Please print and save the e-mail confirmations of your reservation and payments, and present them to the hotel at the time of check-in. A representative of Carlson Wagonlit Travel will be available to assist with any problems at check-in.
 

Changes to confirmed reservations

Once reservations have been confirmed there is a charge of $25/change to alter reservations.
 
The following fees apply if the cancellation is received:
(Supplier refers to hotels, rent-a-car companies, tour operators, etc.)
 
Less than 14 days prior to arrival date: NO REFUND

14 to 21 days prior to arrival: 50% plus any supplier penalties.
 
21 to 30 days or more prior to arrival: 25% plus any supplier penalties.
 
More than 30 days prior to arrival: $50 plus any supplier penalties.

No Show & Refunds

In the case of a “NO SHOW", the service will be charged according to our regular fees.

Flight quotes & bookings

Appropriate refund checks will be mailed or credit given on your credit card within two weeks of cancellation.
 
Once travel commences there will be no refunds made on unused portions, nor is the price or value exchangeable for alternative services.
 
Carlson Wagonlit Travel Costa Rica prepays hotels and tour operators. If you should not use some portion of your reservation and the hotel or tour operator is willing to give you credit, you must have a signed letter from the manager instructing Carlson Wagonlit Travel Costa Rica to issue a refund.
 
Rates are subject to change without notice, until reservations are confirmed.
 
While Carlson Wagonlit Travel Costa Rica makes every effort to keep rates current, sometimes suppliers are slow to notify us of changes.

Tour Reservations

Tour reservation requests can be made in one of two ways:
 
Fill out the Registration form online securely or, print it out and fax it to Carlson Wagonlit Travel Costa Rica office, facsimile +(506) 280 2449. Attention: Grupos y Convenciones. We strongly recommend that you use the Online Submission Form.
 
Any special information about the passenger should be sent by fax or email  to Carlson Wagonlit Travel Costa Rica office.
 
As a result, the charge for cancellations received less than 48 hours prior to the service will be of 100%.
 
Despite the above policy, if a passenger requires to cancel a reservation less than 48 hours in advance, Carlson Wagonlit Travel gives the option of changing the date of service, but only if the tour is a regular one.
 
In the case of “NO SHOW" the service will be charged according to our regular fees.
The operator tour company will wait 5 minutes for a passenger after the specific pick up time.
 
Then, the guide will ask the Hotel to stamp his document in order to prove that he was there at that time and he will continue the tour. For that, the client will be charged as NO SHOW.
 
Children:
 
Passengers over 10 years old will pay the adult normal fee.
 
Passengers between 3-10 years old are considered children. Their fee is 75% of the adult fee.
 
Passengers under 3 years old are considered infants and do not pay any fee.
 
Parents will assume their expenses and provide their meals.
 
Other Policies:
 
The tour operator company reserves the right to change the route of any tour if it is considered to be beneficial to the client.
 
The tour operator company reserves the right to exclude any participant in the tour if his/her behavior is unbecoming or injurious to the welfare of the group.

US Citizens & Caribbean Nationals

U.S. citizens need to have a valid passport with at least 6 months left before the expiration date.
 
It is the responsibility of all those traveling to obtain information and proper documentation.
Carlson Wagonlit Travel Costa Rica and its agents accept no responsibility for changes in documentation requirements or for any departure or entry denials.
 
Passengers denied boarding for lack of documentation will receive no refund. Full cancellation policies apply to cancellations due to incorrect documentation.
 
VISAS: Some citizens of Caribbean Islands need a visa to visit Costa Rica, so please be aware of this important fact.
 

General Disclaimer

Due to the nature of international travel, changes to schedules and itineraries may be necessary and may also prevent the inclusion of some activities.
 
NO REFUNDS CAN BE GIVEN UNDER SUCH CIRCUMSTANCES.
 
We do not accept responsibility for losses or accidental expenses due to changes or delays in airline or hotel overbooking, defaults, weather, strikes, sickness, war, riots, or any other causes not within the power of Carlson Wagonlit Travel Costa Rica. All such losses or expenses are the responsibility of the traveler.

All travel documents and vouchers issued by Carlson Wagonlit Travel Costa Rica and its agents are subject to the terms and conditions of the supplier, to the laws of their countries, and to international conventions between countries.

The passenger agrees that Carlson Wagonlit Travel Costa Rica, its agents, affiliates, employees, shall not be liable for any damages or losses incurred.

All participants expressly waive any and all rights which one may have against Carlson Wagonlit Travel Costa Rica, its agents, officers, or employees caused by the negligence of such persons and in connection with the foregoing. Under no circumstance is Carlson Wagonlit Travel Costa Rica to be construed as a carrier or common carrier under contract for safe passage of the passenger or for luggage and/or belongings. By enrolling in and tendering payment for any and all services participants agree to accept and agree to be bound by the terms and conditions on our Web Site.

No other person other than an officer of Carlson Wagonlit Travel Costa Rica, by document in writing, is authorized to waive or alter any condition with the foregoing.
